Insurance
Every Rotary Club in District 9685 including every Rotarian, their partners and volunteers are covered by the Rotary National Insurance Program. Insurance is available for officially constituted Rotary activities.

Events
Officially constituted Rotary activities and events are to be fully documented and formally approved by the Club Board, with the approval being duly recorded in the Board minutes. For every Event a Project and Event Notification form is required to be completed and sent to the District Insurance Officer Dallas Booth so he can assess the risk.
Note: an Event is not defined as a regular club or board meeting, however it may be that a venue requires to sight a Certificate of Currency and in that instance an email to the DIO stating the request by the venue is sufficient.
Organisers of an Event should read the Rotary Club and DIO Handbook 2026 and the Club Handbook Appendices. Each form linked below and listed in the Forms & Documents section of this page is a writable MS Word document.
The procedure to be followed to have Events and Risk assessed by the District Insurance Officer (DIO) to obtain a Certificate of Currency (CoC) requires:
- Events that have involvement of; the public, participants, stallholders, alcohol, youth, amusement rides and the like, the Project and Event Notification form is required to be completed as a first step
- From the data in the Project and Event Notification form the DIO reviews the proposed activity to ensure it will be covered by the terms and conditions of the Rotary insurance program, and to consider the risks associated with the activity or event.
- From the information supplied, the DIO will decide if a Certificate of Currency can be issued.
- Invariably, the DIO will ask for an additional form which is the Rotary Project Risk Assessment Plan.
- o The Risk Assessment Plan is self-explanatory and the Risk Management Checklist details multiple items that need to be considered by the organisers and comments noted as to how risks associated with the activity can be removed or mitigated.

- If the DIO is still concerned, the completed Project Risk Assessment Plan will be sent to Aon Insurance Brokers for them to assess and advise if the activity will be covered by the Rotary insurance program and whether the Club may require additional cover.
- If the project or activity is likely to involve participation by members of the general public in a community activity such as a fun run, community bike ride or something similar, the DIO may suggest the Club obtain a General Release and Indemnity from each participant registered for the event.
Note: This disclaimer is Aon's General Release and Indemnity and is required for each competitor. This is not to be confused with the section on Amusement Ride Risk Management which outlines the obligations of the supplier of amusements and does not require a disclaimer.
- If an incident occurs at an event or activity that may give rise to an insurance claim in due course either by the Club or by a member of the public, please complete the Incident Report Form and forward this to the DIO as soon as possible after the incident occurred.
Claims
All claims involving third party personal injury or property damage must be reported to Rotary's insurance brokers via the District Insurance Officer as soon as possible.
Rotary's outstanding record of protecting from abuse our members, volunteers, and the communities we serve means Rotary is not part of the National Redress Scheme in Australia, and holds insurance additional to typical Public Liability, including Abuse Liability or Sexual Molestation Insurance. Claims or incidents involving allegations of abuse are to be reported to the DIO immediately, following this Claims Procedure. Claims MUST be notified to the DIO to pass on to our insurer during the period of cover.

Forms & Documents
Summary of Insurances
The following is a summary only. Questions regarding the extent of cover and the nature of any exclusions from cover should be referred to the DIO. Where necessary, those questions will be referred to Rotaryโs insurance brokers Aon for confirmation of the position.
A. Public and Products Liability
A. Public and Products Liability
- Limit of cover is $50 million for any one occurrence, except for molestation where the limit is $2 million.
- Excess is $5,000 per claim, except molestation where the excess is $75,000.
- Some activities are excluded such as rodeos, trains, animal rides and participation in any sport or race.
- Sexual Molestation Claims are payable on a "Claims Made" basis which means that any facts or circumstances potentially giving rise to such claims must be notified immediately.
B. Personal Accident and Travel
- Journeys involving travel of over 50 km and for a maximum of 90 days.
- Flying in a privately owned aircraft or one not licensed to carry passengers is excluded.
- There is no exclusion for pre-existing conditions provided approval is obtained from doctor that you are fit to travel.
- There are age categories for different benefits.
- Benefits for Personal Accident include:
- Weekly benefits for over 1 week, but less than 3 years.
- Lump sums for specific injuries or death.
- Emergency home help of $150 per week up to 26 weeks.
- Medical Expenses not otherwise payable by Medicare or other health funds up to $3,000 for up to a year.
- Benefits for Travel Cover include:
- Weekly benefits for over a week, but less than 3 years.
- Unlimited medical and cancellation expenses.
- Chubb Insurance emergency assistance worldwide ring 61-2-8907-5995.
- Various amounts for loss of deposits, baggage, electronic equipment and money and travel documents.
- Personal liability up to $20 million.
Rotary members wishing to utilise cover under the Rotary Personal Accident and Travel policy must complete the Rotary Insurance Travel Authorisation Form and forward it to the DIO well prior to the date of the intended travel.
C. Damage To Property
- All real and personal property owned by the Rotary Club is covered for loss, damage or destruction.
- Limit of Liability is $500,000 for losses arising from one event
- There are sub-limits of:
- $50,000 for buildings and contents not advised, accidental damage, money, theft and goods in transit.
- $100,000 for any one piece of art at an art show.
- $25,000 for theft of property in the open air.
- Excess is $1,000 for property damage claims
- Property and motor vehicles and trailers etc owned by Club must be reported in the Clubโs annual insurance return in order to receive protection under the Rotary Insurance program.
D. Office Bearers Liability
- Includes breach of professional duty, wrongful acts as a member or director, employment practices and dishonesty/fraud.
- Claims are payable on a "Claims Made" basis which means that any facts or circumstances potentially giving rise to such claims must be notified immediately.
- Cover extends to breach of copyright, libel and slander, trade practices liability and automatic fines and penalties.
- Limit of liability is $10 million.
E. Caravans and Trailers
- These must be notified in the Clubโs annual insurance return before the beginning of the Rotary year.
- Limits are $10,000 for both trailers & caravans.
- Excluded are unregistered vehicles and tools of trade.
